Hotels & Shuttles
PRO TIP: If you are doing the shuttle service, reserve a LAST SHUTTLE that leaves at Midnight & do NOT advertise this trip. This would typically be reserved for the MR & MRS, as well as any wedding party members you want to stay with you until the last moments. Only telling the remaining 12 people about this trip. UNLESS you are going bar hoping on the party bus, which will hold more.
Due to past experiences, we caution doing PRE ceremony trips to hotels. Instead we allow for over night parking with pickups by 9am the following day. Unless you have been VERY CLEAR as to when they will leave at the end of the night. Many of the older generations who would take the shuttle, also don’t want to stay until 9pm or after. Also younger generations tend to back out at the last minute, not wanting to feel trapped with no vehicle. Of course you are certainly welcome to book however many shuttle trips to and from NEW RICHMOND as you would like. We would be happy to accommodate. Currently trips are $85 per round trip to New Richmond, stopping at all 4 hotels if needed. The shuttle bus holds 14 guests per trip.
No hotels in our area offer shuttles, to our knowledge. Our area does not currently have Uber or Lift either. Oehme Oasis Transportation could be a good fit. We urge couples to NOT stress too much about shuttles. YES, it is a great perk for your guests if it is within your budget, but you also won’t be able to please everyone. Plus, if they are old enough to drink, they are old enough to know they either have a ride, or they need to be responsible because they have to drive. Remember, no one should get that drunk on your dime and time that they forget how amazing you looked & everything you did. This is a celebration of your love after all 🙂
Nearby hotels book FAST. With Cedar Lake Speedway events, concerts at the amphitheater, constant ball tournaments, not to mention other weddings happening in the area, New Richmond & Baldwin hotels book quickly! PLUS most of our local hotels do not allow for “room blocks” depending on the time of year. Therefore, many couples book rooms under their own names/credit cards just encase. Please DO NOT wait to get your hotel rooms booked if you are interested in one.
Please make sure you have written down your reservation confirmation code, have a confirmation sent to you IN WRITING, and that you follow up 2 - 3 times throughout the planning process. Following up should NOT be necessary, but honestly hotels have a lot of turnover. Unfortunately that has created a few issues over the years. *Example: One employee might tell you they don’t book until 12 months in advance. Then you call back on “that date” only to be told the hotel is already sold out due to a big artist/concert coming to town that a new employee booked 3 months earlier. Unfortunately we haven’t been able to impact situations like this except to remind our couples to do their due diligence.
There is usually no penalty for having a room block if the rooms don’t get booked (also known as attrition). Please don’t take my word on that – companies are constantly changing their policies. This only matters if the hotel will even allow you to block off rooms. Our past couples have struggled with getting such service to begin with, depending on the time of year. With that said, you may just want to book multiple rooms under your name if they don’t allow room blocks.
Room ‘check-in’ is usually around 3pm, sometimes 4pm. We urge you not to plan your schedule/timeline assuming you will have check-in at a certain time. Instead, we suggest waiting until you have checked with your specific hotel on their check-in policy directly. *Note: If you have guests also staying at a hotel, remember they will need time to check-in, unload their bags, freshen up & get to the venue. For this reason we suggest ceremonies start no earlier than 4:00pm. — Most of our couples find 4:30 or 5:00pm to be the best fit for the day!
